HVAC maintenance agreement software

Sell a service plan once and let the schedule remember it: the visits recur, the equipment is on file and the customer is reminded before each one.

The problem

Service plans fail in the follow-through

A maintenance agreement is a promise to show up twice a year. Selling the plan is the easy part. The hard part is remembering, six months later, which customers are due, what equipment they have and whether anyone has called them.

When plans are tracked in a spreadsheet, visits get missed, and a customer who paid for two tune-ups and got one does not renew.

How it works

How a service plan runs in MarsSuite

  1. Record the equipment

Add each unit to the property with its model, serial number and install date.

  2. Set the visits to recur

Schedule the spring and fall tune-ups as recurring visits. They appear on the calendar each season.

  3. Remind the customer

A reminder goes out before the visit, so the customer expects the tech.

  4. Do every visit the same way

The tech follows a checklist, adds photos and notes, and the visit is saved to the equipment's history.

Questions

HVAC maintenance agreement software: common questions

Can tune-ups be scheduled automatically each season?

Yes. Set the visits as recurring, for example every spring and fall, and they appear on the schedule without being re-entered.

Can I see which equipment a plan covers?

Yes. The equipment is listed on the customer's property with its model, serial number, install date and past visits.

How do I bill for a maintenance plan?

Plan invoices can be sent on a schedule, separately from invoices for repairs.
